Facilities Manager

The Willow School, an independent preschool through grade eight school in Gladstone, NJ, seeks one highly qualified Facilities Manager for 2022-23 school year. The Willow School is a pioneer in sustainable building, whose facilities are comprised of state of the art and complex energy, heating and cooling, water treatment and security systems. The buildings are located on a 30+acre campus of pristine woodlands and wetlands. The ideal candidate will not only be a Facilities Manager, but will be a solid fit for The Willow School’s mission and community.

Essential Job Functions:
• Ensure that the facility is fully operational with all utilities functioning properly
• Perform routine maintenance on facilities and making repairs as needed
• Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment
• Ensure compliance with state and federal regulations, and assist with energy management
• Oversee security of buildings and grounds
• Maintain ongoing communication with contractors, clients, and team
• Manage facilities staff and cleaning crew
• Delegate cleaning and maintenance tasks to team members
• Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor spaces
• Scheduling routine inspections and emergency repairs with outside vendors
• Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
• Creating reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff
• Preparing facilities for changing weather conditions
• Collaborating with Administration and Board on budgeting for facilities needs

Qualifications: Education, Experience and Skills:
• Bachelor’s degree in Business, Engineering, or equivalent professional level experience
• 3-5 years of experience in facilities maintenance or equivalent related functions
• Knowledge of OSHA and other environmental regulations
• Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management
• Must be a well-organized, detail and customer (internal and external) oriented self-starter
• Strong procurement and negotiation skills

Director of Development

The Willow School, an independent preschool through grade eight school in Gladstone, NJ, seeks one full-time Director of Development. The ideal candidate will not only plan and implement comprehensive giving programs that increase the operating support of the school but will also be a solid fit for The Willow School’s mission and community.

Major Responsibilities

Leadership & Management

  • Manage, mentor, guide and collaborate with development team members. Set clear goals, provide regular feedback, and encourage collaboration to ensure an effective, comprehensive fundraising program is aligned with the School’s strategic goals.
  • Set effective (SMART) goals for development. Collaborate with Development Coordinator to analyze development data. Suggest and implement strategies for growth. Review goal progress, implement new processes where necessary, and provide feedback on how to refine and project manage tasks.
  • Develop strategy and provide financial oversight for the department, including budgeting, planning and expense tracking.

Fundraising

  • Work with the Development Committee, Board of Trustees, and Head of School to develop, implement and execute a comprehensive fundraising strategy and timeline including long and short-term annual and planned giving components.
  • Maintain relationships with a defined portfolio of 25-50 major donors, cultivating them toward meaningful support of the School.
  • Coordinate Head of School’s fundraising activities including cultivation, solicitation and stewardship of the school’s top 25 donors.
  • Arrange, prepare for and host visiting donors and prospects.
  • Recruit, train and lead Development Committee members and Trustees in major gift solicitations and overall fundraising and cultivation activities.
  • Create and execute alumni engagement strategy to promote involvement and eventual support of Mustard Seed School.
  • Serve on the school’s administrative leadership team.
  • Attend Board meetings and provide reports to the Board and key constituencies.

Donor Communications, Events, and Alumni Relations

  • Create content and strategy for donor communication and relationship development. Work with the Development Committee and Director of Marketing to create content for donor consumption. Identify new fundraising opportunities and prospects.
  • Plan and execute all Development Communications such as emails, newsletters, appeals, stewardship materials, acknowledgement letters, and the annual report. In close collaboration with the Development Committee and Director of Marketing and Communications, coordinate and execute engagement strategy.
  • Prospect new foundation and corporate possibilities. Oversee the creation and submission of letters of inquiry and grant proposals, and the maintenance of reporting and other current grantee requirements.
  • Plan, strategically coordinate and execute engagement and development programming for all constituents (parents, alumni, and friends), including on- campus and off-campus events such as the Green Gala, Annual Golf Outing, parent and alumni gatherings, dinners, and all other cultivation and fundraising events. Secure sponsorships, drive ticket sales (if relevant) and manage event volunteers.

Database

  • Prepare detailed reports on fundraising performance for the Head of School, Development Committee, and the Board of Trustees.
  • Maintain high-level knowledge of all development donor databases to ensure maximum use of software for productivity and accuracy by overseeing development coordinator’s monthly auditing of database’s data and reports.

Professional Development

  • Research development best practices in fundraising, development writing, database administration and management, and keep atop of trends. Participate in an annual evaluation of job performance.

Essential Qualifications and Personal Attributes

  • Bachelor’s degree required with a demonstrated track record of progressively responsible fundraising experience.
  • Excellent interpersonal, verbal and written communication skills.
  • Detail-oriented with the ability to multi-task and prioritize multiple projects.
  • Willingness to work evenings and weekends and travel locally.
  • Honor the commitments that are expressed in Mustard Seed School handbooks. T

Marketing Internship

Join The Willow School’s Marketing & Communications team! Build your resume working with a mission-driven non-profit as you hone your communication skills. The ideal candidate will be creative, energetic, and devoted to telling a good story. He or she will be interested in a career in marketing or communications, possess excellent writing, communication, and photo/video skills, and be up on the latest social media marketing trends.

At Willow, we believe in student-directed learning, so it should come as no surprise that you will have the ability to craft the experience you want from this internship. We are looking for someone interested in brainstorming campaigns and leading projects that you design, working closely with Willow’s Director of Marketing & Communications to primarily take and edit photos and videos on campus, design social media campaigns, write and publish blogs on the school’s website, and craft regular e-newsletters. You will have the opportunity to get hands-on experience with tangible outcomes that you can add to your portfolio!

Responsibilities:

  • Take photos and videos on campus and edit for posting.
  • Assist with writing, designing, and sending e-newsletters.
  • Assist with regular social media postings to Facebook, Instagram, and Twitter.
  • Help brainstorm, research, and write blogs for the school website.

Some work can be done remotely, but the ideal candidate would be available to work on-site at least two days a week. The start date for this position is flexible; we are looking for someone who can start in September 2022.

Substitute Teacher

The Willow School, an independent preschool through grade eight school in Gladstone, NJ, seeks educators to serve as daily substitute teachers. We are seeking candidates to substitute all subjects and grades, preschool- Grade 8. The appropriate candidates will join a highly dedicated team of educators. The ideal candidates will not only be talented elementary and middle school teachers but will be a solid fit for The Willow School’s mission and community. This position is available immediately and we are seeking multiple candidates.

The ideal candidate will:

● Substitute for teachers and teaching assistants
● Lead and reinforce lessons developed by the head teacher by reviewing materials with students
● Support the campus by performing tasks including but not limited to recess/lunch/dismissal duties, enforcing classroom/school rules
● Perform light classroom maintenance
● Assist with record-keeping, such as taking attendance
● Demonstrate outstanding teamwork and collaboration with all members of the Willow faculty
● Demonstrate outstanding communication skills with parents, students, and colleagues
